Hire Terms and Conditions for Party Hires and Weekend Bookings

  1. Charges and payments:

    1. Your booking is only confirmed once a cash deposit has been paid to the Hall Manager. By paying the deposit, you are agreeing to these terms and conditions.

      1. The deposit is usually £40 but this will be increased to £60 for weddings and other large parties.

      2. Unless arrangements are made with the Hall Manager, bookings will only be held for two weeks.

      3. The deposit will be returned as long as the hall is left as you found it. You are responsible for making arrangements with the Hall Manager to enable your deposit to be returned.

    2. An invoice will be issued once your booking has been confirmed. The hire fee (£16/hour) is due two weeks before the date of your booking. Payment should be in the form of one payment by electronic bank transfer to the following account Wadsley Parochial Church Council; 40-41-11; 00839035 (HSBC). When making the transfer please use the invoice number as a reference.

    3. Keys will be provided via a lock box – the code will be provided in advance of your booking as long as payment has been made in full. Keys must be returned at the end of the hire period to the lock box. We reserve the right to charge for the cost of replacement of any keys due to loss or delay in their return. 
       

  2. Cancellation:

    1. In the event that you cancel all or part of your booking(s) after the deposit has been paid, we reserve the right to keep your deposit in lieu of a cancellation fee.

    2. The Hall Manager and Wadsley PCC reserve the right to cancel a booking up until 14 days before the date of the booking. In this event, all fees will be refunded.

    3. In the event of extreme weather which may impact the safety of users of the hall and require the hall to be closed, we will let you know as early as possible.

      1. If the Hall is closed by us, you will be fully refunded.

      2. If the Hall remains open but you choose to cancel your booking, you will still be liable to pay a cancellation fee (detailed in 2.1).
         

  3. Bookings and conduct:

    1. Start and end times of bookings must include the time required for setting up and packing away including leaving the premises in a clean and tidy state with all waste removed.

    2. If you are found to be entering/leaving the premises before/after your booked time, we will invoice for any additional time.

    3. You will not use Wadsley Church Hall for anything which is contrary to our Christian ethos. We reserve the right to refuse or cancel bookings at any time if your booking is found to be in breach of this.

    4. You will take reasonable care of the premises and leave them in a clean and tidy state. You agree to pay for any costs of extra cleaning or cost of repairs or damage as a consequence of your use. All such breakages or damage must be reported immediately and must be paid for in full where the excess is greater than the £40 deposit already paid.

    5. You will not use the premises for any unlawful purpose nor do anything which shall endanger the premises, contents or any related insurance policies.
       

  4. Health and Safety and Fire Safety:

    1. You must not exceed the capacity of the hall during your booking – this number will be agreed at the time of enquiry but is no more than 200 people in the main hall.

    2. In the event of a fire in the hall, the assembly point is at the front of the hall. Please call 999 first and then contact us.
       

  5. Security and damage:

    1. Any equipment or valuables brought onto the premises, such as motor vehicles, cash, cheques, computers, musical instruments, and audio-visual equipment are the responsibility of the owner and are not covered by our insurance. You are responsible for the insurance and safety and security of all property brought on to the premises.

    2. All portable electrical appliances brought onto the premises must be PAT tested and labelled. You must ensure that any such appliance or equipment is used in a safe manner.

    3. You are responsible for ensuring that the centre is secured at the close of sessions by closing windows & locking doors, lights and all AV and any other equipment including portable heating appliances switched off.

    4. You will be charged for any loss of or damage to Wadsley Church Hall property caused by your or any of your party guests.
       

  6. Licensing:

    1. You will ensure that no alcohol is brought on to the premises and no licence or temporary event notice applied for without our prior authorisation. Please contact us if you are unsure of whether you need a license or not.

    2. If you intend to reproduce song words, show films, play music or record live music at your event please ensure that you have obtained the relevant licences to enable you to do so legally. Please visit www.ccli.co.uk/licences for more details.

    3. Before any event requiring a licence takes place a copy must be provided to the Hall Manager.
       

  7. Insurance, risk assessment and safeguarding: 

    1. You are responsible for ensuring that you have made effective arrangements in place, including insurance and risk assessments, for any activities (e.g. bouncy castles) that you may be conducting and for written details to be available for our inspection.

    2. You are responsible for ensuring that your organisation has effective arrangements in place, including risk assessments, to ensure the safeguarding of any children, young people or vulnerable adults within your group. Our safeguarding policy can be found here.
